Project Jane 2012 Timeline

  • Credentialed Trainers Hired

    Credentialed Trainers Hired
29 credentialed trainers were hired to assist with end-user training and go-live support. These individuals will now spend six weeks immersed in applications, workflows, and end-user job shadowing. The credentialed trainers then participate in pilot training, an event where they train their applications to a panel of analysts and principal trainers. Pilot training is scheduled to occur February 20, 2012 – February 27, 2012.
  • 90 day Go-Live Readiness Assessment

    90 day Go-Live Readiness Assessment
YRMC and Epic will evaluate critical system components required for go-live. This is the first of three formal evaluations to determine our go-live readiness, during which, areas identified for completion are documented and action plans to complete are created. This process will continue every 30 days until go-live.
  • Integrated Testing scheduled to complete

    Integrated Testing scheduled to complete
YRMC Clinical Informatics analysts and end-users will complete 5 rounds of integrated testing by the end of February. The multiple rounds of testing further validate workflows, system processes, interfaces and consistency across the multiple YRMCCare applications.
  • MPI Conversion and Go-Early Interfaces

    MPI Conversion and Go-Early Interfaces
At the beginning of March, YRMC and Epic will perform a final Master Patient Index (MPI) conversion which will take basic patient demographic information from the STAR application and import into the YRMCCare production system. This ensures that established YRMC patient demographics are pre-populated for use. Once the conversion is complete, three interfaces will be activated to pre-populate patient results into the YRMCCare production system: lab results, transcription and radiology reports.
  • End User Training Starts

    End User Training Starts
An end-user is anyone who will use the electronic health record. End-user training will focus on proficiency in electronic health record navigation and fundamental workflows. This training will be provided in a combination of hands-on and live classroom instruction as well as online e-learning and ‘at-the-elbow’ support. It is anticipated that over 1,900 end-users will be trained.
  • Super User Training

    Super User Training
A super-user is a current employee designated by their leader to be trained as a resource for their unit or department. Super-users will assist with end-user competency reviews and testing. Super-user training will be provided to this unique group of staff.
  • 60 day Go-Live Readiness Assessment

    60 day Go-Live Readiness Assessment
YRMC and Epic will evaluate critical system components required to be in place for go-live. This is the second of three formal evaluations to determine our go-live readiness.
  • 30 day Go-Live Readiness Assessment

    30 day Go-Live Readiness Assessment
YRMC and Epic will evaluate critical system components required to be in place for go-live. This is the third of three formal evaluations to determine our go-live readiness.
  • Dress Rehearsals for Go-Live

    Dress Rehearsals for Go-Live
Two dress rehearsals will be performed; one for the YRMCCare application, and one for the technical components. These provide end-users the opportunity to go through YRMCCare workflows in their work setting prior to go-live. The application dress rehearsal will use controlled scenarios. Go-live command center processes will also be tested. The technical dress rehearsal consists of testing devices, connectivity and printing. Dress rehearsals help identify last minute issues prior to go-live.
  • YRMCCare GOES LIVE!!

    YRMCCare GOES LIVE!!
YRMC clinicians and staff will use YRMCCare to document all aspects of patient care. We will be officially live once we are performing all planned workflows electronically within YRMCCare.
  • Optimization and Stabilization Begins

    Optimization and Stabilization Begins
Immediately following go-live, the optimization and stabilization period will start for YRMCCare. During the next 60 to 90 days, minimal enhancements will be made to the system. This will be an opportunity to make adjustments to workflows and to improve system processes associated with using YRMCCare.
