Information System Implementation Process

  • Step 1: Get contract signed.

    Instruct the trainee on what to do and how to do it.
  • Step 2: Order forms and supplies.

    Do this 2-3 months in advance!
  • Step 3: Prepare for hardware installation.

    Do this 2-3 months in advance. Confirm delivery dates and schedule installation and construction for hardware.
  • Step 4: Hotel vendors.

    The hotel personell provides vendor with the necessary information to build the database 1-2 months in advance.
  • Step 5: Verification

    Verify the conversion date and make final installation arrangements one month in advance.
  • Step 6: Before installation date.

    Check that equipment arrives, forms and supplies are received, training room is set up, and install and test hardware 2-4 weeks in advance.
  • Step 7: Training schedule.

    This is done 2 weeks prior to installation. It will consist of scheduling reservations personnel, making consistent hours according to department, and preparing a master training schedule.
  • Step 8: Installation training begins.

    This meeting should train employees on what to expect within the first 3 months.
  • Step 9: Night Audit.

    After night audit, the system goes live after guest folio and city ledger balances are transferred to the new system.
  • Step 10: "Live Environment"

    Vendor trainers monitor system and assist employees.
  • Step 11: Counseling

    The vendor representative will assist the PMS coordinator on implementation problems until acceptance criteria are satisfied.
