  • Confirmation of assignment as FR: organised by external provider

    FR to get in touch with event organiser and agree on responsibilities.
    Contact IB if any difficulties are encountered.

    Review Travel Policy.
    FR book flights.
    Ensure laptop if ready to go (Including adaptor and charger!).
    Review visa requirements.
  • Planning before the event

    Planning before the event
    Collaborate with other Field Rep's.
    Establish a communication plan with WSL's.
    Reach out to WSL's before the event.
  • 21-30 days before the event

    Contact WSL's.
    Introduce yourself as Field Rep.
    Explain Field Rep role at the event.
    Attach the latest programme coordinator notes for each programme (available on PRC).
    Guide educators to the WRC Help section for any technical advice.
  • 10 days before the event

    10 days before the event
    Communicate with other FR's and select workshops to observe.
    Collaborate to organise faculty meeting.
  • 7 days before the event

    7 days before the event
    Submit the list of workshops you plan to observe via surveys@ibo.org and copy your IB event or workshop provider contact.
  • 5 days before the event

    5 days before the event
    Remind all WSL's of date, time and venue for faculty meeting.
    Inform WSL's who will be observed and ask if there's a specific session they would like you to sit in on.
    Plan the faculty meeting- go to FR Moodle, choose or create a learning engagement.
    Prepare the welcome session, if applicable.
    Ensure link from IB surveys to complete FR protocol is available. Provide honest responses that will support further growth for WSL's while acknowledging and recognising good work.

    Go to the FR Moodle.
    Choose a learning engagement or create one of your own based on further developing the IBEN capabilities.
  • Prepare the welcome session, if applicable

  • Ensure link form in surveys to complete the FR protocol is available

    FR access to printable version is available.
    Survey should be accessible 3 days after it has been requested.
    Provide honest responses that will support further growth for WSL's while acknowledging and recognising good work.

    Arrival and Set up Day
    Upon arrival: Familiarise yourself with the venue and confirm location of site meeting room, faculty room, all workshop rooms, meals, welcome session room, AV testing for the faculty meeting and transport details.
    Plan the session: Review welcome session with any other FR's and test sound and video if applicable.
    Check on WSL's arrival.
    Facilitate the 90 minute faculty meeting: organise a cross programme learning engagement, build collegiality and answer specific qts.
    Attend faculty dinner: host
  • During Event

    Leader Set up: Check in with WSL's and ensure they are set up and ready. Logistically and technically!
    Workshop Observations: Observe each WSL at least twice for 20 minutes each time (minimum)
    Mingle with participants
