    Head of School select LEPs to Visit

    The Quality Department liaise with the Heads of Schools requesting the list of Local Education Providers the School wish to visit.

    Agree Time for Visits

    The Quality Department liaise with the Head of Schools and LEPs to agree dates for visits. Notes: As the Coordinator of the School QM visits, the QMD needs to be kept informed at all times of arrangments made by the Schools regarding the visits.

    Finalise Visit Schedule QMSG approval

    The Quality Department finalises the visit schedule with all stakeholders and take it to the QMSG for approval.

    MWPOs set up Visiting Teams

    MWPOs liaise with Head of Schools to determine members of Visiting Teams. Notes: The Head of School decides if an External College representative and/or Lay representative is required.

    Dean Director confirms visits with stakeholders

    The Dean Director writes to CEOs, copied to Schools, to confirms visits details.
  • Period: to

    Dean Director writes to London Deanery HoS

    When a visit includes trainees administratively managed by London Deanery, the Dean Director writes to Head of Schools in London Deanery requesting a representative to attend the visit.

    Create Master Spread sheet

    The Quality Department creates the Visits master spread sheet and save it on 'Genshare'.
  • Period: to

    Prepare Draft Timetables

    The Quality Department prepares the 'Draft' Timetable for aech visit and send it to the Head of School and MEM for approval.
  • Period: to

    MWPOs Invite visitors

    MWPOs start inviting visitors, making arrangements for travel and overnight accomodation where necessary. Notes: When confirmed, enter visitor details onton the master spread sheet on 'Genshare'.
    Include Email addresses of those outside of KSS. If visitors cancel, remove the details from the spread sheet immediately and inform the Quality Department

    Check if visitors require training

    The Quality Department checks if visitors require training and invites them accordingly.

    HoSs approve visit timetables

    HoSs approve visit timetables

    Send visit timetables to LEP

    The Quality Department sends the visit timetable to MEMs / DMEs.

    Organise visitor training

    The Quality Department organises the visitor training workshop.
